International Fiscal Association - Hong Kong Branch ("IFA Hong Kong", "we", "us" or "our") respects the privacy of its members, prospective members, event participants, subscribers, website users and other individuals with whom it interacts. This Privacy Policy explains how we collect, use, disclose, retain and protect personal data in connection with our activities and our website.
IFA Hong Kong handles personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486 of the Laws of Hong Kong) (the "PDPO") and the applicable Data Protection Principles. For the purposes of the PDPO, IFA Hong Kong is the data user in respect of personal data under its control.
1. Personal data we may collect
Depending on your interaction with IFA Hong Kong, we may collect personal data including your name, email address, telephone number, job title, employer or organisation, professional information, membership category and status, membership application and renewal information, event registration and attendance information, correspondence with us, preferences relating to our communications, and other information that you voluntarily provide.
Where payments are made in connection with memberships or events, we may receive transaction-related information. Payment card information may be processed directly by the relevant payment service provider and is not necessarily held by IFA Hong Kong.
For events, we may also collect information reasonably required for event administration, such as dietary requirements, accessibility requirements or other logistical information that you choose to provide.
We may take photographs or make recordings at IFA Hong Kong events for appropriate reporting, archival and communications purposes. Where appropriate, participants will be informed that photography or recording may take place.
2. How we collect personal data
We may collect personal data when you join or renew your membership, register for an event, subscribe to our mailing list or newsletter, complete a form on our website, contact us, participate in an IFA Hong Kong activity, access members-only resources, or otherwise interact with us.
We may also hold personal data collected through systems previously used by IFA Hong Kong, including Glue Up. As part of the migration of IFA Hong Kong's website and communications systems, relevant records may be migrated to Squarespace or other systems used by IFA Hong Kong.
Personal data migrated from a previous platform will continue to be handled in accordance with the purposes for which it was collected, any applicable consent, this Privacy Policy and the PDPO.
3. Purposes for which we use personal data
We may use personal data for the following purposes:
· administer IFA Hong Kong and its membership activities;
· process membership applications, renewals and member communications;
· organise conferences, technical luncheons, seminars, webinars, annual general meetings and other events;
· manage event registrations, attendance and event-related communications;
· provide access to members-only content and resources;
· respond to enquiries and correspondence;
· maintain membership, subscriber and contact databases;
· administer payments, accounting records and other administrative records;
· send newsletters, invitations, announcements and other communications where applicable legal requirements have been satisfied;
· analyse website usage and campaign engagement in order to improve our website, communications and activities; and
· comply with applicable legal, regulatory, governance and record-keeping requirements.
4. Direct marketing and email communications
Where permitted by applicable law and after obtaining any consent required under the PDPO, IFA Hong Kong may use your name, email address and other relevant contact information to send you newsletters, invitations and information about IFA Hong Kong events, conferences, technical programmes, membership activities, publications, Young IFA Network (YIN) activities, Women of IFA Network (WIN) activities, regional or international IFA activities and other activities connected with the objectives of the International Fiscal Association.
We will not use your personal data for direct marketing where the consent required by the PDPO has not been obtained.
You may withdraw your consent to direct marketing or unsubscribe from marketing communications at any time, free of charge, by using the unsubscribe link contained in our marketing emails or by contacting us at contact@ifahongkong.com. Once we receive an opt-out request, we will cease using the relevant personal data for the direct marketing concerned.
5. Events and Eventbrite
IFA Hong Kong may use Eventbrite for the registration and administration of certain events.
When you register for an IFA Hong Kong event through Eventbrite, Eventbrite may collect and process personal data in accordance with its own privacy terms. Relevant registration information may also be provided to IFA Hong Kong so that we can administer the event, communicate with participants and maintain appropriate records.
Registering for an event does not, by itself, mean that you have consented to receive unrelated marketing communications from IFA Hong Kong. Where required, marketing consent will be obtained separately.
6. Squarespace and email campaigns
IFA Hong Kong uses Squarespace for its website and may use Squarespace Email Campaigns for newsletters, event invitations and other communications.
Personal data such as your name, email address, subscription status and campaign interaction information may therefore be processed through Squarespace on behalf of IFA Hong Kong.
We may also use other reputable service providers where reasonably necessary for website hosting, membership administration, event management, communications, data storage, IT support, payment processing or other administrative functions.
7. Disclosure of personal data
IFA Hong Kong does not sell personal data.
Where necessary for the purposes described in this Privacy Policy, personal data may be disclosed to persons assisting IFA Hong Kong in carrying out its activities, including website and IT service providers, event and registration platforms, email communication providers, payment processors, professional advisers and other contractors or service providers acting on our behalf.
Where relevant to membership administration, benefits or IFA activities, information may also be shared with the International Fiscal Association (IFA), its Global Secretariat, or other relevant IFA entities or branches.
Personal data may also be disclosed where required or permitted by applicable law, regulation, court order or regulatory requirement, or where reasonably necessary to establish, exercise or defend legal rights.
8. Overseas processing and storage
Some of the service providers used by IFA Hong Kong, including online website, email, cloud and event-management platforms, may process or store information outside Hong Kong.
Where personal data is processed by external service providers, IFA Hong Kong will take reasonably practicable steps appropriate to the circumstances to protect personal data and to require service providers to handle such data securely and only for authorised purposes.
9. Data security
IFA Hong Kong takes reasonably practicable measures to protect personal data against unauthorised or accidental access, processing, erasure, loss or use.
Access to personal data is limited, where practicable, to persons who require access for legitimate IFA Hong Kong purposes. We also expect service providers processing personal data on our behalf to maintain appropriate security safeguards.
10. Data retention
IFA Hong Kong retains personal data only for as long as reasonably necessary for the purpose for which it was collected or for a directly related purpose, including legitimate administrative, membership, accounting, event, governance and record-keeping requirements.
Information that is no longer required will be deleted, anonymised or otherwise disposed of where reasonably practicable, subject to any applicable legal or legitimate record-retention requirements.
11. Cookies and website information
Our website may use cookies and similar technologies provided by Squarespace or other service providers to enable website functionality, maintain security, understand website usage and improve the user experience.
Depending on your browser and cookie settings, you may be able to refuse or manage cookies. Some website functions may not operate correctly if certain cookies are disabled.
12. Members-only area
Certain parts of the IFA Hong Kong website may be accessible only to members.
Information used to establish or administer access to the members-only area may include identity, email address, membership status and login-related information.
Members should not share login credentials or redistribute members-only materials except where permitted.
13. Access and correction
Under the PDPO, you may request access to personal data held about you and request correction of inaccurate personal data. We may request information reasonably necessary to verify your identity before processing an access or correction request.
Requests for access or correction should be addressed to the IFA Hong Kong Secretariat using the contact details set out in section 16 below.
14. Third-party websites
Our website may contain links to third-party websites, including the websites of IFA Global, Eventbrite, LinkedIn and other organisations.
Those websites are operated independently and may have their own privacy policies. IFA Hong Kong is not responsible for the privacy practices of third-party websites.
15. Changes to this Privacy Policy
IFA Hong Kong may update this Privacy Policy from time to time to reflect changes in our activities, technology, service providers or applicable requirements.
The current version will be published on our website with its effective or last-updated date.
